Images do not display in email signatures

All Datacast360 users have their signatures managed thru Exclaimer. This means that all of the images and items in the signature are not within the users control. This methodology gives us the best possibility of having uniform signatures across all email communications. Unfortunately despite best efforts there are several circumstances where the images in signatures are not displayed for the recipient of the email. Instead the recipient see this:

  • A red X instead of an image
  • A "Click here to download images" box
  • A white box with a black border
  • Nothing but white space where an image should be

The reasons for this are as follows:

  • The recipients email client removes/blocks the images from the messages
  • The recipients email server removes/blocks images
  • The recipients email server removes/blocks embedded images
  • The recipients email server removes/blocks image links

At this time there are only a few options available to resolve this issue. All of them are on the recipients end and they need to perform an action to make this happen.

  1. Recipient needs to add Datacast360 to the Safe Senders List in their email client
  2. Recipient needs to "Click here to download images"
  3. Recipients mail server needs to allow embedded images
  4. Recipients mail server needs to allow linked images

Item 1 and 2 can normally be handled by the recipient as they usually have the ability to do this on their own. Items 3 and 4 require intervention by the recipients IT Departments or their email providers.

Why is this happening? The transmission of images is seen as a major security threat worldwide. These items can be embedded with viruses, malware, and phishing attempts that can be used as an entryway to access and compromise a users computer or a company network.

On any message that is a forward or reply you can and should expect that the signature may be stripped out or at a bare minimum the images will be gone. The images may be placed as attachments to the email instead. This is especially prevalent in Android, iOS, OS X, and to a lesser extent Windows devices.

To make a long story short there is currently not much that we can do to alleviate this situation. We do not control every mail server and every mail client on the planet so we cannot simply login to those devices and make the necessary changes to ensure that everyone sees our full signatures every time in all emails. If a client cannot see our full email signatures we can refer them to this article where they can perform the "Safe Senders List" or "Click here to download images" function and our signatures should show up intact.
